Outlook web app

Visit email.gdst.net on the web, this is the easiest way to get to your emails.

Outlook desktop app

For advanced email features you may require to use the Outlook desktop application. The following steps are required to get started:

  1. Search for the program (Outlook) on your computer and open it.

  2. During initial startup you will be presented with the setup wizard, normally you have just click the Next button on every stage of this process. Click the Finish button at the end.

  3. Once Outlook is open the next step is to setup email signature and default font for emails.

Email on a mobile device

Additional information if required during setup:

Reporting SPAM email

The email filtering solution in use across the GDST includes an Outlook add-on that allows users to report suspicious email directly to the ITS Department. This functionality replaces the need to forward any emails onto the ITS Spam mailbox.

Note: If the received email includes an "unsubscribe" link, please request this via the link prior to reporting the email as SPAM.


The add-on should appear within both the Outlook application and through Outlook Web Access (OWA). The add-on is not available via mobile email applications.

To report a suspicious email or SPAM message....

  1. Select the Barracuda Essentials admin icon as shown above.

  2. From the pop-out menu select the "Submit as Suspicious" option.
    This will report the email to Barracuda Email Filtering to aid with future email classification.
    The central ITS Department will also be notified allowing them to review the message and scan for any similar messages in other GDST mailboxes.

  3. The reported email will automatically be moved to your Deleted Items folder.

This process replaces the need to forward the email onto the ITS Spam mailbox.

Encrypted email

The Barracuda Essentials Outlook add-on includes the option to send encrypted emails to recipients which will expire after 30 days. This option should be considered when sending highly confidential content to an external contact.
The encrypt option is accessible from both the Outlook application and through Outlook Web Access

Outlook application

  1. Create a new email
    Attachments can be added as normal

  2. Select the Encrypt Message icon from the top toolbar

  3. Switch the "Encryption on" option
    This will automatically attach a txt file to the email. Do not delete this attachment as it is required to complete the encryption process.

  4. Send the email as normal

Outlook Web Access

  1. Create a new email.
    Attachments can be added as normal

  2. Select the Barracuda Essentials icon from the bottom toolbar

  3. Switch the "Encryption on" option
    This will automatically attach a txt file to the email. Do not delete this attachment as it is required to complete the encryption process.

  4. Send the email as normal

5. When the recipient receives the email they will receive an email similar to the one shown on the left

6. The email can be accessed by following the link in the email. The link will expire after 30 days.
